Tally & data export

Two different jobs live under this topic: getting your data out of Lekhita, and bringing your old data in. Both work today, both are free, and both have limits worth knowing before you plan around them.

Getting data out of Lekhita

Two files, from two screens. Export lives on the lists themselves, not in Reports:

  • From the orders list — one row per bill: bill number, date, customer name and phone, total, currency, payment mode, and status (paid / pending / overdue / draft). It exports what the list is currently showing, so search or filter first.
  • From the customer list — name, phone and email, again for whatever is currently shown.

Being straight about the limits: your items do not export yet, and the orders file has no tax column, no item lines and no HSN codes. Your CA can reconcile turnover and payment mix from it; they cannot build a rate-wise GSTR-1 from it. If you need your catalogue out, ask us on WhatsApp and we will get it to you.

Both files are plain CSV — they open in Excel and Google Sheets, and Tally-literate accountants import CSV routinely. Export is free on every plan and stays free after a paid plan lapses; we will never hold your data behind a tier.

Bringing your old data in — do it yourself

There is no “Import from Tally” button, and there is no mapping wizard for Tally's XML. What there is: a plain CSV import on the item list and on the customer list, which will happily swallow a tidied-up Tally export, a shop spreadsheet, or something your nephew typed out.

  1. Get your items or parties into a spreadsheet — from Tally, from Excel, from anywhere.
  2. Cut it down to the columns that matter: name and price for items, name and phone for customers.
  3. Open the item list (or customer list) in Lekhita, choose import, and paste the rows in.
  4. Lekhita shows you which column it matched to which field before it creates anything. Check that, then commit.

Headers are matched by meaning, not spelling — “Item Name”, “Product”, “naam” and “title” all land on the same field, and so do “Rate”, “MRP” and “daam”. Rupee symbols, commas inside numbers and Devanagari digits are handled. A sheet with no header row at all works too, read left to right in the order above. Or let us do it for you

Email whatever Tally gives you most easily — including the full Export → Masters → All Masters XML — to support@lekhita.com or send it on WhatsApp. We map it, load it, and tell you when it is done, typically by the next morning. Use this path if you want opening udhaar balances carried across, which the CSV import does not do.

What survives the move, what does not

  • Comes across on your own: item names, prices, stock counts and groups; party names, phones and emails.
  • Comes across only if we do it: opening udhaar balances.
  • Stays behind: your historical vouchers, your chart of accounts, cost centres, and per-item GST rates and HSN codes. Lekhita starts your transaction history fresh from day one; Tally remains the archive for old years, which is also what your CA will prefer for past filings.

When Tally is still the right tool

Lekhita is the counter and the order book — billing, khata, bookings, stock. It is not a full double-entry accounting package. If your business runs on ledger-level accounting, audit trails across years, and statutory books, keep Tally for accounting and use Lekhita for the shop floor; the CSV export is the bridge between them.
